About contacts

Contacts is the collective name for all people, organizations and organizational units (groups) stored within Service Hub. Contacts can be your customers, users, suppliers or of any other custom defined relationship type.

For contacts we allow you to:

  • Search and view contact details
  • Add attachments to contacts
  • View and update related information regarding tickets and activities

There are several ways to start working with your contacts. You can either use one of the pre-configured lists available through the navigation drawer and list selector, create your own custom lists to organize and view your contacts or use the search option to find the contact you are looking for.

Properties, time lines and data grids

Information regarding contacts is structured using different UI-elements. The primary contact information is displayed on the property cards. Related data (e.g. information about tickets, activities etc.) is displayed on tabs. The first tab shows a time line that combines related tickets and activities. The other tabs show data grids with unplanned activities and attachments.

Property cards

The property cards provide you with the most important detail information regarding the contact. It displays information regarding the organizational hierarchy, phone numbers, email address, physical address, alerts and notes. Time lines

Time lines are designed to give you a chronological combined overview, displaying past and future activities and submitted tickets.

Person time line
On the person time line tickets and activities are displayed if these are directly related to the person. I.e. activities part of a ticket will not be displayed on the person time line, instead these will be displayed on the time line of a ticket itself which will provide a higher level of detail.

Group time line
The group time line displays tickets and activities directly related to the group. Anything related to a sub group or related to the people within the group will be displayed on their individual time line.

Organization time line
As with the person and group time lines, the organization time line displays only directly related data. Tickets and activities related to other organizational units within the organization are not displayed on the organization time line, instead they are displayed on the time line of the individual organizational unit.

Data grids

On the contact detail pages two data grids are displayed in specific tabs.

Unplanned
The unplanned data grid lists all activities without a start or end date that are directly related to the contact. As there is no date present these activities cannot be displayed in the time line view. As soon as these activities are updated with a date, they will be removed from the list and will be present on the time line.

Attachments
Files and URLs directly attached to a contact will be displayed within this list. As a user you are able to upload new attachments and delete extisting attachments. Please check the attachments section for more details on how to work with attachments.
